Grant management and acquittal
How we apply for, manage and report on grants, including Commonwealth grants.
Applying
We apply only for grants that fit our principal activity and strategy. Applications are approved by the Chair and one other director. We give true and complete information. Giving false or misleading information to the Commonwealth is a serious offence.
Managing each grant
- Spend each grant only on the agreed activity, tracked as a separate cost line.
- Meet every reporting date and provide reports the funder requests.
- Notify the funder promptly of any actual, perceived or potential conflict of interest, and of anything likely to affect the activity.
- Notify a Commonwealth funder within seven days of registering for goods and services tax.
- Hold the insurance the agreement requires and provide proof on request.
- Stay responsible for any subcontractor, and give their details on request.
- Report any privacy breach to the funder immediately.
Acknowledgement
Acknowledge the funder in all material, publications and promotions. Make no public announcement about a Commonwealth grant without its written approval, and never use the Commonwealth Coat of Arms without approval.
Acquittal
Within one month of the activity ending, or as the agreement requires, the Treasurer and Chair sign a statement verifying the grant was spent as agreed. Unspent funds are returned or reallocated only with the funder's written agreement.
Records
Keep grant records for at least five years after the activity ends, or seven years under our records policy, whichever is longer.
Eligibility
We will join the National Redress Scheme if ever required, so we remain eligible for Commonwealth grants.
